The Opportunity

Representing the President & CEO (CEO) and the Chief Operating Officer (COO), the Executive Assistant & Board Liaison (EA) serves as the chief support to the office of the CEO & COO, providing confidential executive assistance and board administration support. The EA provides front-line customer service and liaises on a regular basis with a diverse group of stakeholders including staff, volunteers, donors, program partners, government representatives, board members, and the community at large. The EA performs a variety of day-to-day tasks including supporting members of the senior leadership team, general office operations, and backup support for confidential human resources tasks.

What You’ll Do

  • Provide confidential executive assistance to the CEO & COO, managing calendars, emails, scheduling calls/meetings, expenses, budgets and booking travel.
  • Prepares correspondence, forms, charts, reports, presentations, and other documents as requested by the CEO or COO.
  • Coordinates meetings for senior leadership and executive team meetings. Attends meetings as required to ensure minutes are taken and to support follow-up activities.
  • Researches and collects data as needed to prepare documents for review and prepare presentations for donor meetings, boards of directors, committees, and senior leadership/executives.
  • Provides front-line customer service for the office of the CEO & COO with external stakeholders as well as internal staff; responding to inquiries and escalating issues as required.
  • Liaises with and supports the work of the Board of Directors, under the direction of the CEO & COO.
  • Organizes and prepares for Board and Committee meetings and events by working with the COO to prepare, draft, and edit agendas, documents, and presentations for the Board.
  • Maintains current files and up-to-date governance materials in Board folder and Board portal.
  • Acts as the central point of contact with the Board and Committee members.
  • Records, transcribes, distributes, and files all minutes, agendas, reports, etc., required for the Board of Directors.
  • Prepares and maintains the annual work plans, terms of references for Board/Committees.
  • Contributes to overall office management and provides coverage, as required, for other administrative positions. Liaises with key office-related vendors.
  • Act as backup to the HR department for confidential tasks.

What You Bring

  • Minimum of 7-8 years of related experience providing administrative support at a senior level.
  • Experience supporting a Board of Directors and familiarity with governance best practices.
  • GPC.D designation or Chartered Governance Professional certification an asset.
  • Highly proficient in Microsoft Office.
  • Excellent organization, planning, and time-management skills.
  • Strong communication and interpersonal skills.
  • Ability to anticipate needs, make decisions, and manage competing priorities.
  • Attention to detail, adaptability, and ability to maintain composure under stress.
  • Sensitivity, maturity, and confidentiality.
  • Willingness to work occasional evenings and weekends.
